Privacy Policy

Jollytime Daycare ("Jollytime", "we", "us") respects the privacy of the families we serve. This policy explains what personal information we collect, why we collect it, how we protect it, and the choices and rights you have. We follow Alberta's Personal Information Protection Act (PIPA) and, where it applies, the federal Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Who is responsible
Jollytime Daycare, 93 Mcleod Avenue, Spruce Grove, Alberta, is responsible for the personal information in its custody. Our Privacy Officer oversees compliance with this policy and can be reached at jollytimed@gmail.com or (780) 990-6177.
2. What we collect
- Inquiry and tour requests: your name, email address, and your child's age group.
- Enrolment and care: parent or guardian names and contact details, a child's name, date of birth, emergency contacts, authorized pick-up persons, and billing details.
- Health and wellbeing: allergies, medical conditions, medications, immunization information, dietary needs, and incident or progress notes, only as needed to keep your child safe and well.
- Photos and videos: only with your written consent, and only for the purposes you agree to.
- Website data: basic technical information, such as your IP address and browser type, which may be received by our hosting and font providers when you load a page.
We collect information about children from their parents or legal guardians, not directly from children.
3. Why we collect it
- To respond to inquiries and arrange tours.
- To assess eligibility, enrol children and provide safe, appropriate care.
- To contact you about your child, including in an emergency.
- To manage fees, invoices and payments.
- To meet licensing, funding, health and safety, and other legal requirements.
- To maintain and improve our website and services.
We collect only what is reasonable for these purposes. If we want to use your information for a new purpose, we will ask for your consent first unless the law allows otherwise.
4. Consent
We collect, use and disclose personal information with your consent, which may be express (for example, ticking a box or signing an enrolment form) or implied (for example, when you submit a tour request and expect us to reply). You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may mean we cannot provide some services, such as enrolling a child.
5. When we share information
We do not sell personal information. We may disclose it only:
- to staff who need it to care for your child;
- to emergency responders and health professionals when your child's health or safety is at risk;
- to government bodies and licensing or funding authorities where required or authorized by law;
- to service providers who help us operate (for example, email, scheduling, accounting and website hosting), under obligations to protect the information; and
- where otherwise required or permitted by law, or with your consent.
6. Service providers outside Canada
Some of our service providers, such as Google (email and web fonts), may store or process information in countries outside Canada, including the United States. Information held there may be accessible to courts, law enforcement and national security authorities under the laws of those countries. To ask about our use of service providers outside Canada, contact our Privacy Officer.
Tour requests sent through the form on our website are processed by Formspree, a form service based in the United States, which delivers them to us by email. Formspree receives the name, email address and child's age group you enter in the form.
7. Security
We use reasonable physical, technical and administrative safeguards, such as locked storage, restricted access and password-protected systems, to protect personal information against loss, theft and unauthorized access, use or disclosure. If a security incident creates a real risk of significant harm to an individual, we will notify the Alberta Information and Privacy Commissioner and affected individuals as PIPA requires.
8. How long we keep information
We keep personal information only as long as needed for the purposes above or as the law requires, including regulatory record-keeping requirements for child care programs. When it is no longer needed, we securely destroy it or make it anonymous. Tour inquiries that do not lead to enrolment are deleted within a reasonable period.
9. Your rights
You may ask to see the personal information we hold about you or your child, ask how it has been used or disclosed, and request corrections. Send requests in writing to our Privacy Officer. We will respond within the time PIPA requires (generally 45 days), and may charge a minimal fee for access requests, which we will tell you about before processing. We may refuse access only in the limited situations the law allows, and we will explain why.
10. Cookies and analytics
Our website does not currently use advertising or tracking cookies. If we add analytics or similar tools in the future, we will update this policy and, where required, ask for your consent.
11. Email and electronic messages
We send electronic messages in line with Canada's Anti-Spam Legislation (CASL). We will contact you about services you requested, such as a tour. We will only send marketing messages with your consent, and every such message will include an easy way to unsubscribe.

If you have a question or concern about how we handle personal information, please contact our Privacy Officer first at jollytimed@gmail.com. If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner of Alberta.
13. Changes to this policy
We may update this policy from time to time. The effective date above shows when it was last revised. Material changes will be posted on this website.
